Privacy Notice

What we collect, why we collect it, how long we keep it, and what you can ask us to do about it.

Being straight with you: a few details below are marked like this. Those are things we are in the middle of confirming — our registered company details and our ICO registration number. Everything else on this page is accurate today. If any of it matters to a decision you are making, email info@cejexperts.com and we will answer directly.

Who is responsible for your information

CEJ Experts runs this website and decides how the information described here is used. In data-protection language, that makes us the controller.

  • Trading name: CEJ Experts
  • Registered name: to be confirmed
  • Company number: to be confirmed
  • Registered address: to be confirmed
  • ICO registration number: to be confirmed
  • Contact for anything on this page: info@cejexperts.com

We have not appointed a Data Protection Officer. We are not required to. Your questions go to the address above and reach a person, not a queue.

What we collect, and when

Nothing here is collected in the background. Each item below comes from something you chose to do.

When you send an enquiry

The contact form asks for your name, your email address and your message. If you tell us where you trained or what you are trying to do, we keep that too, because it is usually the point of the message.

When you use the Learning Paths tool

The diagnostic on Learning Paths asks what you want to be able to do, your current role, and how much time you have. Your email address is optional — the tool works without it, and we say so on the page.

We keep your answer whether or not you give us an email, because the answer itself tells us what dentists are trying to do and what we should build. When there is no email attached, the record is not linked to you in any way we could reverse.

If you do give an email, we store it, and we store a scrambled version of it separately so that returning to the tool updates your existing record instead of creating a second one. We keep a short history of the answers you have given — the last 25 — so we can see how someone’s thinking changes over time.

When you ask to be told about something that is not built yet

Several steps inside a Learning Path are not live. If you ask to be notified when one opens, we store your email address against that step and nothing else.

When you subscribe to updates

Your email address, and the date you agreed.

When you simply visit

Our server records the usual things a web server records: your IP address, the page requested, the time, and the browser you used. We also record your IP address when a form is submitted, to stop the same address submitting the same form over and over.

Google reCAPTCHA runs on our forms to tell people apart from bots. It is provided by Google and looks at how you interact with the page. See the Cookie Notice for what that means for storage on your device.

When you allow analytics

Only if you say yes. Analytics is switched off until you allow it. See the Cookie Notice.

Why we use it, and what allows us to

Under UK and EU data-protection law we need a lawful basis for each use. Here is ours, in full.

What we do with it What it covers Our lawful basis
Reply to your enquiry Name, email, message Steps taken at your request before entering a contract, and our legitimate interest in answering people who write to us
Point you toward the right learning path Your goal, role, time available Steps taken at your request
Understand what to build next Goals and roles, pooled together Our legitimate interest in developing a service that matches demand
Tell you when something opens Email address, the step you asked about Your consent
Send you updates and marketing Email address Your consent
Keep the site up and stop abuse IP address, request logs, reCAPTCHA signals Our legitimate interest in a site that stays online and is not flooded with junk
Measure how the site is used Analytics identifiers Your consent
Meet legal and accounting obligations Whatever the obligation covers Compliance with a legal obligation

Where we rely on legitimate interests, we have weighed our interest against yours. If you think we got that balance wrong in your case, tell us — you have a right to object, and we will look at it properly.

How long we keep it

What How long
Enquiries Up to 24 months after we last heard from you

Newsletter Until you unsubscribe or ask us to delete it
Server and security logs Normally 30 days, longer only if we are investigating something
Analytics As configured in Google Analytics — currently 14 months
Records we must keep by law For as long as the law says

Who else sees it

A small number of suppliers process information so that the service can run. They act on our instructions and cannot use it for their own purposes.

  • Hosting — the servers that run this website and store its database.
  • Email delivery — sending our replies and any updates you asked for.
  • Google — reCAPTCHA on our forms, and Google Analytics if you allow it.
  • Backup storage — encrypted copies of the site so it can be restored.

We do not sell your information, we do not rent it, and we do not hand it to advertisers. We would disclose it if the law required us to, or to establish or defend a legal claim.

Information leaving the country

Some of those suppliers — Google in particular — process information outside the UK and the EEA. Where that happens, the transfer relies on an adequacy decision, on the UK International Data Transfer Addendum, or on Standard Contractual Clauses, depending on the supplier and the country. You can ask us which applies to a specific supplier.

What you can ask us to do

You have the right to:

  • see a copy of what we hold about you;
  • have anything wrong corrected;
  • have it deleted;
  • have us pause using it while a dispute is sorted out;
  • receive it in a portable format, or have it sent to someone else;
  • object to us using it, including for marketing — for marketing there is no balancing test, we simply stop; and
  • withdraw consent at any time, which does not undo anything we lawfully did before you withdrew it.

Email info@cejexperts.com. We do not charge, and we will answer within one month. If your request is genuinely complicated we may take longer, and we will tell you why before the month is up.

We may ask you to confirm who you are before we hand over personal information. That is a protection for you, not an obstacle.

If we get it wrong

Tell us first — we would rather fix it than read about it. If you are still not satisfied, you can complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. If you live in the EEA, you can complain to your own country’s data-protection authority instead.

Our own complaints process explains what happens when you raise something with us directly.

Automated decisions

The Learning Paths tool matches what you typed against a short list of paths we wrote by hand. It is keyword matching, not a judgement about you, and it has no legal or similarly significant effect. Nothing on this site makes an automated decision of that kind, and we do not profile you.

Children

This is a website for qualified dental professionals and dental students. It is not aimed at children, and we do not knowingly collect information from anyone under 18. If you think we have, tell us and we will delete it.

Cookies

Covered separately, in the Cookie Notice.

When this changes

We will update this page when what we do changes, and the review date at the top will move. If a change materially affects you and we hold your email address, we will tell you rather than hoping you notice.

Still not clear?

Ask us in your own words.

Legal writing has a way of answering everything except the thing you actually wanted to know.
